How Many Should You Print? Making an Educated Guess for Your Marketing Materials

One of the most common questions when planning a printing project is also one of the hardest to answer:

“How many should we print?”

Thomas Graphics can help you think through the numbers before you place the order. Sometimes a little planning on the front end can save you money, time, and a whole lot of leftover boxes.

Whether you’re ordering flyers, postcards, brochures, business cards, door hangers, menus, or promotional pieces, nobody wants to end up with boxes of materials gathering dust.

But you also don’t want to run out halfway through a marketing campaign.

So how do you figure out the right quantity?

You make an educated guess based on a few key numbers.

📊 Start With Your Goal

Before deciding how many pieces to print, ask yourself:

What am I trying to accomplish?

Are you:

  • Mailing postcards to a specific number of households?

  • Handing flyers out at an event?

  • Leaving brochures at local businesses?

  • Running a month-long promotion?

  • Providing materials to your sales team?

  • Giving customers something to take home?

The purpose of the material will help determine how quickly you’ll use it.

🧮 Start With the Number of People You Can Actually Reach

Here’s a simple example.

Let’s say you’re promoting a new service and plan to visit 20 local businesses.

If you expect to leave 10 flyers at each location:

20 businesses × 10 flyers = 200 flyers

But don’t stop at exactly 200.

Add a little extra for unexpected opportunities, damaged pieces, additional locations, or the person who says, “Can I have a few more?”

You might decide that 250 flyers is a smarter print quantity.

That’s an educated estimate—not a random number.

📬 For Direct Mail, Start With Your Mailing List

If you’re sending postcards directly to customers, your mailing list gives you a much better starting point.

For example:

1,000 addresses = approximately 1,000 postcards

But you may want to print a small percentage above your mailing quantity to account for:

  • Address changes

  • Damaged pieces

  • Additional recipients

  • Last-minute additions

  • Future use

The important thing is to distinguish between how many pieces you’re mailing and how many pieces you’re printing.

They’re not always the same number.

🎪 Events Require a Little More Guesswork

Events can be trickier.

If 500 people are expected to attend, that doesn’t necessarily mean you need 500 brochures.

Think about how people will interact with your business.

Will everyone receive one?

Will your team hand them out selectively?

Will people grab multiple pieces?

Are you also collecting contact information?

For a busy event, you may want enough materials for your expected audience plus a reasonable cushion.

Running out early can mean missing opportunities—but printing thousands of extras that never get used isn’t necessarily a win either.

📈 Look at What Happened Last Time

One of the best ways to predict the future is to look at your own history.

If you printed 500 flyers last year and had 75 left over after the campaign, you probably don’t need to jump to 2,000 this year unless something has changed.

Ask:

How quickly did we use them?

How many customers did they generate?

Did we run out?

Did we have hundreds left over?

Your previous print jobs can provide some of the most useful data for your next one.

💡 Don’t Forget Your Shelf Life

Some printed materials can be used for months or even years.

Business cards are a great example.

Others have a much shorter shelf life.

A flyer advertising a “20% Off This October” promotion isn’t particularly useful in December.

When deciding how much to print, consider how long the material will remain relevant.

The longer the shelf life, the more reasonable it may be to print a larger quantity.

💰 Sometimes Printing More Actually Saves Money

Here’s another factor businesses sometimes overlook:

Quantity can affect the price per piece.

Depending on the project, printing 1,000 pieces may cost significantly less per piece than printing 250.

That doesn’t mean you should automatically order the larger quantity.

If you’re going to throw 700 pieces away, you haven’t saved money.

The goal is to find the sweet spot between quantity, cost per piece, and actual usage.

🤔 Still Not Sure? That’s What Your Printer Is There For.

You don’t have to figure it out alone.

A good printing company can help you think through your project, your audience, your distribution method, your timeline, and your budget.

Sometimes the best answer isn’t simply:

“Print 1,000.”

It might be:

“Based on how you’re distributing these, let’s start with 500 and see how quickly you’re going through them.”

Or:

“You’re going to need 2,000 for this campaign, but let’s look at the pricing difference between 2,000 and 2,500.”

That’s where experience can make a difference.

The Bottom Line

There isn’t a magic number that works for every marketing project.

Instead, make an educated estimate by considering:

Your audience + your distribution method + your campaign length + your past usage + your budget + the material’s shelf life = a much smarter print quantity.

And remember—printing isn’t just about putting ink on paper. It’s about putting the right message in front of the right people at the right time.

Not sure how many you should print?
